How Aontach Jiu-Jitsu handles the information you give us, what we do with it, how long we keep it and what you can ask us to do about it.

When you enquire about adult classes we collect your name, date of birth, phone number, email address, what you are interested in, your training experience, anything you tell us about injuries or medical conditions, and how you heard about us.

When you enquire about kids classes we collect the parent or guardian’s name, phone number and email address, the child’s name and date of birth, the child’s training experience, which days suit you, an emergency contact, your photography preference, and anything you tell us about the child’s medical needs.

When you join as a member we also collect your address, your current grade and where you have trained before.

We do not collect anything else, we do not buy information about you from anyone, and we never sell or rent your details.

We use this information to reply to your enquiry, to place children in a class that suits their age, size and ability, to keep people safe on the mat, and to run memberships.

Our legal basis is your consent for enquiries, and the performance of a contract for membership administration. Where you give us health or injury information we rely on your explicit consent, and we use it only to keep you or your child safe while training.

You can withdraw your consent at any time by emailing us. That will not affect anything we did before you withdrew it.

Enquiries about kids classes are made by a parent or guardian, not by the child. We ask for a child’s name and date of birth because classes are allocated by age, size and ability, and because coaches need to know who is on the mat.

We do not contact children directly. Everything goes to the parent or guardian who contacted us.

We sometimes photograph and film classes and post that content on our Instagram and Facebook pages.

For children we do not do this without a parent or guardian’s consent. We record your preference when you first get in touch, and you can change it at any time by telling a coach or emailing us.

For adults tell any coach if you would rather not appear and we will work around it.

If something is already published and you want it taken down, email us and we will remove it.

Enquiries that do not lead to membership are deleted after twelve months.

Member records are kept for as long as you are a member and for two years afterwards.

Injury and incident records are kept for seven years, because we may need them for insurance purposes.

After those periods the information is deleted.

Enquiries submitted through this website are stored in the website’s database and emailed to the club. Access is limited to the coaches and club administrators who need it to do their job.

The website runs on WordPress and uses the Forminator plugin to handle forms. Our web developer, Nexum Digital, has technical access to the site in order to maintain it, acts only on our instructions, and does not use your information for any purpose of its own. Our website host stores the site and its database on our behalf.

We do not share your information with anyone else unless we are required to by law, or where there is a child protection concern that we are obliged to report.

This website sets the cookies WordPress needs in order to work.

We embed a Google map so you can find us, which may set cookies from Google when you view that part of the site. Our pages also link to Instagram and Facebook. Those are separate companies with their own privacy policies, and we are not responsible for what they do with your information once you are on their platforms.

You can ask us for a copy of the information we hold about you, ask us to correct it if it is wrong, ask us to delete it, ask us to restrict how we use it, or object to us using it. You can also ask for it in a portable format.

If you are unhappy with how we have handled your information, please tell us first and we will try to put it right.

You also have the right to complain to the Data Protection Commission, 21 Fitzwilliam Square South, Dublin 2, D02 RD28, or through dataprotection.ie.

If we change how we handle your information we will update this page, and the date at the top will change. Where the change is significant we will tell members directly.
